Terms and conditions of expo.rentals
Terms for renting advertising displays and ordering print: prices, deposit, rental term, damage, cancellation and complaints.
1. Parties to the contract
Lessor and supplier: SPUKI EOOD, company number 207218740, VAT number BG207218740, represented by Nikolay Bliznakov. Address and base: Sofia, 24 Dimitur Mollov str., Sofia. Phone +359 87 996 1450, email mail@expo.rentals. Website expo.rentals.
Renter and client: any individual or legal entity that places an order through the site, by phone or by email and receives our confirmation.
2. Subject
These terms cover two types of service:
- Rental of advertising displays — roll-up banners, pop-up walls, flags, promo counters, brochure Z-displays and similar items. The hardware remains the property of the lessor and is returned at the end of the rental.
- Production of printed materials — business cards, flyers, folded leaflets, stickers, vinyl graphics for roll-up banners. Printing is a one-off job per piece and the printed item stays the property of the client.
3. Formation of the contract
The contract is considered concluded when the client submits an order through the site and receives our confirmation together with a proforma invoice. The confirmation lists the products, the rental dates, the delivery method, the amounts due and the deposit.
The lessor may decline an order if the selected item is not available for the stated dates, if the chosen delivery method does not apply to that product, or if the invoicing details are incomplete. We then notify the client and offer an alternative.
4. Prices and taxes
All prices on the site are in euro with VAT included. Net amounts without VAT are shown only in the documents — the proforma invoice and the invoice.
Rent is a daily price on a sliding scale by number of days, where each bracket applies only to the days falling inside it. Two scales apply: the standard one and the one for large structures, both published on the How renting works page.
The minimum rental is 1 day. The minimum value of a print order is €15.00. Logistics fees are due according to the chosen delivery method and are described on the Delivery, setup and return page.
5. Payment
Payment is made against a proforma invoice issued after the order is confirmed. The payment details are stated on the proforma itself.
Rental items are handed over after the amount due and the deposit have been received. Printing goes into production after payment and after the client approves the digital proof.
6. Deposit
A deposit is due for every rental item, in the amount stated on the product page. The deposit is security for the return of the hardware in working order and is not part of the rental price.
- The deposit is handled through a proforma invoice and is not blocked on a card.
- It is released within 2 working days after the return and inspection of the item.
- If damage is found, the matching fee from the table in section 9 is deducted from the deposit and the balance is returned.
- If the value of the damage exceeds the deposit, the client owes the difference up to the replacement value of the product.
The client may also choose optional coverage on the terms described on the Damage fees page.
7. Rental term
The rental period starts on the day of collection and ends on the stated end date.
- Pickup from the base — from 10:00 on the first day.
- Return — by 18:00 on the last day.
- After the return the lessor keeps a 1 day buffer to inspect and prepare the item.
In case of a late return the lessor may charge rent for the extra days at the daily price of the product.
8. Obligations of the renter and prohibitions
The renter undertakes:
- to use the display for its intended purpose and according to the setup instructions;
- to store and transport it in the bag or case provided;
- to return it on time, complete with all parts and accessories;
- to notify us immediately in case of damage, loss or theft.
The following is prohibited:
- use of the display outdoors in strong wind or a storm, and use of a flag with an unsecured base;
- subletting or handing the item to a third party without the written consent of the lessor;
- modifying the structure — drilling, painting, cutting, glueing elements onto it or replacing parts;
- using the display at an address other than the agreed one when delivery with setup was chosen.
9. Damage and fees
Items are inspected on return. Normal wear and normal dust from a fair are not charged. Where damage is found, the following fee applies:
| Damage | Fee |
|---|---|
| Soiled graphic needing cleaning (not charged for normal dust from a fair) | €12.00 |
| Missing bag or transport case | €18.00 |
| Tear in the graphic over 3 cm — replacement required | €45.00 |
| Bent roll-up banner cassette | €65.00 |
| Broken telescopic pole (one of the three segments) | €22.00 |
| Broken magnetic frame segment (pop-up) | €85.00 |
| Broken fibreglass flag pole | €28.00 |
In case of loss, theft or damage beyond repair, the replacement value of the product stated on its product page is due.
10. Cancellation and changes
| When | Refund of the rental amount |
|---|---|
| 7 or more days before the rental | 100 % |
| 3–6 days before the rental | 50 % |
| 0–2 days before the rental | 0 % |
The deposit is returned in all cases. Changing dates or the contents of an order is possible subject to availability and is treated as a new calculation.
11. Specifics for printed materials
Printed materials are personalised items made to the order of the client. The following applies to them:
- every order goes through a free file check before printing;
- approval of a digital proof by the client is required before printing starts;
- once printing has started, the client has no right of cancellation and the amount paid for print is not refunded;
- the client is responsible for the content of the file, for spelling and for the rights to the images used;
- the standard production time is 3 working days, with 24-hour and same-day express options at a surcharge.
12. Complaints
Complaints are accepted at mail@expo.rentals or on +359 87 996 1450. The client must report any discrepancy on receipt of the shipment, or at the latest within the period set by the applicable consumer protection law.
For printed materials a complaint is accepted if the printed result differs materially from the approved proof. Colour differences caused by the difference between a screen and print, or by a file supplied in RGB, are not grounds for a complaint. Attach photos and the order number.
13. Force majeure
Neither party is liable for non-performance caused by force majeure — natural disasters, breakdown, strike, administrative restrictions, cancellation of the exhibition by its organiser. The affected party notifies the other without delay.
14. Governing law and jurisdiction
Matters not settled here are governed by Bulgarian law. Disputes are resolved through negotiation and, failing agreement, by the competent court in Sofia.
