Trade fair and exhibition equipment for rent

Who this page is for

• Exhibition organisers — you need identical structures across many stands, set up on site and collected when the show ends.
• Agencies — you are building a stand for a client and you do not want to buy equipment that then sits in storage.
• Exhibitors — you take part once or a few times a year and you need a stand that looks right for those specific days.

Why rent instead of buy

The maths is simple. If you exhibit at 2–3 fairs a year, renting comes out cheaper than buying, even before you count storage.

A pop-up wall you buy costs hundreds of euro, takes up space between events and ages together with your branding. Change the logo or the message and the graphic has to be replaced while the hardware is still new.

With a rental you pay only for the days of the fair. The graphic is personalised and stays with you, because printing is a one-off job per piece. The hardware goes back and takes up no space at your office.

What goes into a 3×3 stand

This is the most common stand size at Bulgarian exhibitions. A combination that works for that footprint:

• 3×3 straight pop-up wall — the back wall of the stand, carrying the main message. €45.00 per day, €150.00 deposit. Priced on the large structures scale.
• Folding promo counter with cover — for conversations, leaflets and equipment. €18.00 per day, €60.00 deposit.
• Two roll-up banners — on the sides of the stand, for individual products or offers. Strong 85×200 is €10.00 per day, Strong 100×200 is €12.00 per day.
• Teardrop flag 320 cm with base — visible above the stands and helps people find you. €14.00 per day.
• Brochure Z-display — for leaflets and flyers, so they do not clutter the counter. €6.00 per day.

If you rent all of that for one stand on one set of dates and one address, logistics is charged once — a visit fee by zone plus €5.00 setup per piece.

The ready-made packages on the site

The packages section holds three prepared combinations, so you do not have to assemble everything by hand:

• Fair kit — the basic set for taking part.
• Small stand — for narrower footprints and for a first appearance.
• Full stand with materials — the structures plus the printed materials you hand out at the stand.

A package is rented for the same dates as individual items and priced on the same sliding scale. If you do not need something in the package, tell us and we will rework the order.

Setup on site

Delivery with setup and teardown applies to rental structures. You pay a visit fee by zone plus €5.00 setup per piece, and the teardown after the event is included in that amount.

Order by 12:00 and at least 2 days in advance. In practice, book it for the build-up day of the fair rather than for the opening day.

The zone fees are: Sofia and around €30.00, Plovdiv and southern Bulgaria €60.00, Varna and the northern Black Sea €90.00, Burgas and the southern Black Sea €90.00, any other town in Bulgaria €70.00.

When to book

• As soon as your stand is confirmed. Availability is per item, and in the busy fair weeks the same dates are wanted by many exhibitors.
• At least 2 days before the build-up if you want delivery with setup.
• At least 3 working days before the date you need the print, because that is the standard production time. There are 24-hour and same-day express options, but they carry a surcharge.
• Remember the buffer — after every return we keep 1 day for inspection, so an item cannot go straight to another fair on the same day.

Cancellation is a 100 % refund 7 or more days before the rental, 50 % at 3–6 days and 0 % at 0–2 days. The deposit always comes back.

Bulky structures and logistics

The 3×3 and 4×3 pop-up walls and the promo counters are not accepted by courier companies, because of the size of their cases. That leaves two options: pickup from our base in Sofia, or delivery with setup.

Roll-up banners, flags and Z-displays travel by courier without trouble.

What to check before you order

• The exact stand size in your contract with the organiser and where the entrances are.
• The ceiling height in the hall — the teardrop flag is 320 cm tall.
• Whether the stand has power and on which side the socket sits.
• The build-up and teardown hours in the exhibition rules and whether passes are needed.
