Damage fees and normal wear

Fixed fees for damage, normal wear not charged. Deposits, optional coverages and how to avoid the most common breakages.

The logic in short

Our displays are rented many times over and they wear down. Normal wear is on us. We only charge for damage that must be repaired or replaced before the item goes out on rent again.

The fees are fixed and published below.

Fee table

DamageFee
Soiled graphic needing cleaning (not charged for normal dust from a fair)€12.00
Missing bag or transport case€18.00
Tear in the graphic over 3 cm — replacement required€45.00
Bent roll-up banner cassette€65.00
Broken telescopic pole (one of the three segments)€22.00
Broken magnetic frame segment (pop-up)€85.00
Broken fibreglass flag pole (usually from strong wind with an unsecured base)€28.00

The fee applies per affected element.

What we do NOT charge for

  • Normal dust from a fair. Dust from an exhibition hall, fingerprints on the graphic, light dust on the cassette — that is not damage.
  • Normal wear on the mechanics — slightly worn threads, small scuffs on the cassette from ordinary use.
  • A bag worn from carrying, as long as it is intact and usable. The bag fee is for a missing bag, not a used one.
  • Minor marks on a flag base from standing on asphalt or concrete.

Bring the display back as it is after the fair.

How damage is documented on return

  1. Inspection at handover. We unfold the structure and check the graphic, the cassette, the pole, the base and the bag.
  2. Photos. Every piece of damage we find is photographed. The photos are attached to the order.
  3. Notification. We write to you with what was found, which fee applies and how much of the deposit comes back.
  4. Deposit release. Within 2 working days after the return and the inspection, less the fee if there is one.

If you spot a problem while still at the stand, tell us then, not at the return. When you return by courier, the inspection happens on arrival at our base, so pack it properly.

The two coverages

Minor damage coverage — 8 % of the rent

Covers up to €300.00. Suited to the everyday mishaps that happen on a stand.

  • Covers: a torn graphic, a bent pole, a worn bag.
  • Does NOT cover: loss, theft, a broken cassette, damage from a storm outdoors.

Full coverage for a large stand — €45.00 flat

Covers up to €1,500.00. It makes sense when you rent a pop-up wall or a whole stand with several items.

  • Does NOT cover: deliberate damage and parts missing at the return.

Coverage is optional and it does not replace the deposit.

Deposit and replacement value

The deposit is security, not a cap on liability. It is lower than the replacement value of the item.

ProductDepositReplacement value
Roll-up banner Strong 85×200€40.00€145.00
Roll-up banner Strong 100×200€45.00€175.00
Roll-up banner Eco 85×200€25.00€75.00
Pop-up wall 3×3 straight€150.00€890.00
Pop-up wall 4×3 curved€180.00€1,250.00
Teardrop flag 320 cm with base€40.00€190.00
Brochure Z-display€20.00€65.00
Folding promo counter with cover€60.00€260.00

For minor damage the fee is deducted from the deposit and the balance is returned. In case of loss, theft or damage beyond repair the replacement value is due, with the deposit set against it.

How to avoid damage

  • Flags in wind. The fibreglass pole breaks most often when the base is not secured. Outdoors use a base filled with water and sand. In strong wind, take it down — that case is not covered.
  • The cassette in transit. A bent cassette almost always comes from something being loaded on top of it. Carry the roll-up in its bag and place it on top in the boot.
  • The bag. It is part of the item and carries its own fee if missing. Put it under the counter or inside the wall case, not out on the stand.
  • The graphic when rolling in. Roll it slowly with a hand guiding the top, so it does not catch on the corner of the cassette.
