Deposit and damage cover
A deposit per item, replacement values by product and the two damage covers with their limits and exclusions.
What a deposit is and why we take one
The deposit is a refundable guarantee per item. It is not a fee and not part of the rental. We take it because the replacement value of a structure is several times higher than a few days of rental.
Take the roll-up banner Strong 85×200. The rental is €10.00 per day. Three days come to €26.00 with the steps applied. If the same structure is lost or damaged beyond repair, replacing it costs €145.00. So a €145.00 unit leaves the base against €26.00 of revenue. The €40.00 deposit covers the first and most common part of that risk while staying small enough not to tie up your money.
Deposit and replacement value by product
| Product | Rental per day | Deposit | Replacement value |
|---|---|---|---|
| Roll-up banner Strong 85×200 | €10.00 | €40.00 | €145.00 |
| Roll-up banner Strong 100×200 | €12.00 | €45.00 | €175.00 |
| Roll-up banner Eco 85×200 | €7.00 | €25.00 | €75.00 |
| Pop-up wall 3×3 straight | €45.00 | €150.00 | €890.00 |
| Pop-up wall 4×3 curved | €60.00 | €180.00 | €1,250.00 |
| Teardrop flag 320 cm with base | €14.00 | €40.00 | €190.00 |
| Z-rack for brochures | €6.00 | €20.00 | €65.00 |
| Folding promo table with cover | €18.00 | €60.00 | €260.00 |
The deposit is per item. Two Strong 85×200 roll-ups mean a €80.00 deposit. The replacement value is not a price you automatically pay when something is damaged — it shows what the unit costs if it is lost completely.
How the deposit is placed
On a proforma invoice, as a separate line marked refundable. It is not blocked on a card and not held as a pre-authorisation. If you pay the rental by bank transfer, the deposit travels with the same payment but stays a separate line in the documents.
When the deposit is released
Within 2 working days after the return and the check. The check is physical: cassette, graphic, bag, poles, number of parts. That is why after a return we keep the unit for 1 day and do not hand it straight to the next customer.
If everything is fine, the deposit comes back in full. If there is damage, the relevant fees are deducted and the difference is returned with a statement of exactly what was charged. If you cancel the order, the deposit is returned in all cases, no matter how close to the date the cancellation is.
The two damage covers
Cover is an option in the order and it is different from the deposit. The deposit is a guarantee; the cover is protection against specific damage.
Minor damage cover — 8 % of the rental
- Price: 8 % of the rental value.
- Limit: up to €300.00.
- Covers: a torn graphic, a bent pole, a worn bag.
- Does not cover: loss, theft, a broken cassette, storm damage outdoors.
Full cover for a large stand — €45.00
- Price: a flat €45.00, whatever the size of the rental.
- Limit: up to €1,500.00.
- Does not cover: deliberate damage and parts missing on return.
When cover is worth it and when it is not
It is worth it when the risk is out of your hands: an outdoor stand, flags in the wind, a lot of people around the structures, setting up and taking down in the dark, machinery passing next to the graphic. It is also worth it on a large stand — with a pop-up wall 4×3 at a replacement value of €1,250.00, a flat €45.00 is a small share of the risk.
It is not worth it for one roll-up for one day indoors, standing behind a table where nobody touches it. On a €26.00 rental the minor damage cover is about €2.00, which is not much, but neither is the risk. Decide by the setting, not by the price.
How cover relates to the damage fees
The damage fees are fixed amounts for specific faults — a tear over 3 cm, a bent cassette, a broken pole, a broken magnetic frame segment. The full list with the figures is on the Damage fees page.
Without cover the fee is deducted from the deposit. If the fee exceeds the deposit, the difference is due separately. With cover the fee is absorbed up to the relevant limit, provided the damage is of a covered type. If it falls under the exclusions, the cover does not apply and you are back to the deposit and the fee.
